Who we are
This notice explains how English Speaking Gym (“Speaking Gym”, “we”, “us”) collects and uses personal information on englishspeakinggym.com.
englishspeakinggym.com is run by Fluency Code Ltd, a company registered in England and Wales (company number 17194314). Registered office: 26 Barkis Road, Great Yarmouth, Norfolk, NR30 3DU, United Kingdom. Fluency Code Ltd is responsible for (the “controller” of) the personal information described in this notice. English Speaking Gym and The Fluency Code are both run by Fluency Code Ltd.
Questions or requests: hello@englishspeakinggym.com.
What we collect
When you take the Fluency Score
- Your answers to the 12 questions and the results we work out from them (your score, speaking profile, 30-day plan and recommended training).
- Your first name and email address, when you unlock your full results.
- Whether you ticked the box to receive speaking tips by email.
- How you reached us: campaign tags in the link (UTM tags), the website that sent you, the page you landed on and which button you pressed.
- Basic technical details: whether you used a phone, tablet or computer, whether you opened the page inside an app such as Instagram, and how long the assessment took.
- Whether you clicked your recommendation, and which Private Coaching plan you looked at.
The page keeps your progress in your browser (session storage) so a refresh does not lose your answers. See Cookies and analytics below for everything else stored on your device.
When you buy and book Private Coaching
When you pay, Stripe collects your name, email address and payment details; we never see or store your card details. If you came from your Fluency Score, the checkout link carries your Fluency Score reference and email so we can match your payment to your result. When you book a session, Calendly collects your name, email address and the time you choose, and Zoom is used for the session. If you send us a coaching request instead, we keep your first name, email address, the plan you chose and, if you tell us, what you would like to work on.
When you ask for the free speaking prompts
Your email address.
When you request a trial on our China page
Your first name, email address, WeChat ID, your answer about your English level and your confirmation that you are 18 or over, plus the status of your trial and membership. Payments for China plans are handled by Stripe; we never see or store your card details.
Cookies and analytics
Google Analytics only runs if you accept analytics cookies. When you first visit, we ask. If you press “Reject”, or do not choose, Google Analytics is not loaded and nothing is sent to Google. You can change your mind at any time with “Cookie settings” at the bottom of every page.
If you accept, Google Analytics helps us understand how people use the site (pages viewed, general device and browser information, approximate location) and sets these cookies:
- _ga and _ga_<id> (Google Analytics): tell visits apart. They last up to 2 years.
We also store a few small items in your browser that are needed for the site to work or to remember your choices:
- esg_consent (local storage): remembers your cookie choice.
- esg_fs_v1, esg_fs_contact, esg_src (session storage, deleted when you close the tab): your Fluency Score progress and results, the details you typed, and how you reached us.
- esg_fs_sid (local storage, only if you accept analytics cookies): a random visitor number, so we can count returning visitors without knowing who you are.
We also count key steps of the Fluency Score on our own systems (for example, how many people reached each question). These counts never include names or email addresses, and without your consent they do not use anything stored on your device.
We do not use advertising cookies or pixels. If we add one later, we will ask for your consent first and update this notice.
How we use it
- To show you your Fluency Score results and, if this is switched on, to email you a copy (because you asked for them).
- To recommend the training that suits you and to follow up on a Private Coaching request (to take steps you asked for).
- To send you speaking tips and offers, only if you ticked the box. You can unsubscribe at any time (your consent).
- To understand which pages, campaigns and recommendations work, and to improve the assessment (our legitimate interest in running and improving the service).
- To run trials, memberships and payments, and to keep records we must keep (contract and legal obligations).
We use your answers to recommend a training path. This is automated, but it has no legal or similarly significant effect on you, and every option stays open to you.
Who we share it with
We use trusted services to run the site. They process information for us:
- Netlify: website hosting and the database that stores Fluency Score results and requests.
- Google: Google Analytics (only if you accept analytics cookies), Google Fonts and, only if you press play, YouTube videos.
- Loom: our introduction video, only if you press play.
- Resend: sending emails such as verification codes and, when switched on, your results.
- Stripe: payments.
- Calendly: booking Private Coaching sessions.
- Zoom: online Private Coaching sessions.
- Skool: the platform the Speaking Gym Community runs on. When you join, Skool’s own privacy policy applies.
If we connect an email marketing tool or customer database, we will add it to this list. We never sell your personal information.
Some of these providers process data outside the UK, for example in the United States. Where that happens, they use the legal safeguards set out in their own terms.
How long we keep it
- Fluency Score results and Private Coaching requests: 2 years after your last contact with us (for example your last assessment, request or reply), then deleted automatically.
- Speaking tips emails: until you unsubscribe.
- Free speaking prompts sign-ups: up to 2 years after you sign up, or until you ask us to remove them.
- China trial and membership records: for as long as you are a member, then 2 years after your membership ends.
- Payment and accounting records: as long as the law requires, usually 6 years.
- Google Analytics data (only if you accepted): up to 14 months.
You can ask us to delete your information at any time (see below).
Your rights
You can ask to see the information we hold about you, correct it, delete it, or object to how we use it. You can withdraw your consent to marketing emails at any time. Email hello@englishspeakinggym.com.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office (ico.org.uk).
Children
Our services are designed for adults. Please do not use the Fluency Score or request coaching if you are under 18.
